Landscaping method statement template

A landscaping method statement should set out what will be changed on the site, how workers will prepare and protect the area, the sequence of ground and planting work, the equipment used, and the controls for buried services, people, machinery and materials. This copyable Great Britain template can support soft landscaping, minor hard-landscaping interfaces and grounds projects after a task-specific risk assessment. It is not a permit to dig or a universal tree-surgery or pesticide application method.

The Complys generic method statement template owns the basic cross-trade sequence. Landscaping needs its own survey and ground-contact decisions: a bed excavation can strike a shallow cable; a delivery vehicle can conflict with the public; a tree-planting operation can require handling aids. The final method must match the design, terrain, season, weather, ground conditions and who uses the site while work proceeds.

Define the actual landscaping package

List each operation: site clearance, stripping turf, minor excavation, drainage, edging, paving, soil import, planting, mulching, irrigation or maintenance. Separate tasks with different hazard profiles. A plan for hand planting low shrubs is not sufficient for excavating a trench, operating a mini-excavator, applying a professional-use pesticide or cutting a tree with a chainsaw. Name specialist contractors and their own documentation where those tasks fall outside the core landscaping team.

Before any excavation, HSE's HSG47 sets out the three parts of a safe system near underground services: plan the work, locate and identify services, then excavate safely. Drawings alone may not show private or moved services. Record what information was obtained, the detection method, who used it and the safe digging technique. HSE's excavation guidance also calls for ground, collapse, access, water and adjacent-structure risks to be controlled where relevant. A shallow planting hole can still contact a service; a deep trench needs a separately competent temporary-support and inspection plan.

The work zone must be drawn or described so crews can distinguish a planting bed from a service corridor, protected tree roots and a public path. Check planning/design constraints, ecology and site permissions where relevant; a method statement should reference the appointed designer or client approval rather than inventing a universal environmental rule.

Do not release ground breaking because someone says “there should be no services here”. HSE's underground-cable guidance recommends plans, suitable locating equipment and safe digging, with competent users who understand the locator's limits. Where a service is suspected or found, review the excavation method and communicate the marked route. HSG47 is a decision framework; it does not let this generic form specify one fixed clearance distance for every utility and situation.

HSE's planting advice identifies handling, cuts and moving machinery and recommends arranging deliveries to reduce carrying. Design the route and work order so pallets or plants are deposited near their final location where practicable. Assess the actual loads and ground; do not turn “team lift” into a substitute for a suitable mechanical aid.

If professional-use plant protection products are in scope, the contractor needs a separate product, label, training/certification and environmental-control decision. HSE's pesticide FAQ says professional-use products require the specified competence route; a generic landscape form should not claim every worker can spray. The safest choice may be to omit chemical treatment altogether. Record this as a separate specialist work package rather than a line reading “spray weeds as required”. Likewise, HSE requires adequate task-specific chainsaw training and competence; tree work, particularly aerial work, needs its own competent plan.

This is a sequence to customise, not an instruction to do all ten stages. Paving, drainage and tree planting may each need detailed drawings and separate inspection points. If a design changes after excavation, stop that portion and obtain approval before backfill. Photograph a buried drain or service crossing before it is concealed, where the contract calls for such evidence.

Record the location, time, who was told, the revised plan and who briefed the crew. If a service is damaged, keep people clear and follow the site emergency procedure and service-owner advice. Do not attempt an unqualified repair or cover the damage before reporting it.

The final client handover should say what is complete, what remains restricted, who maintains planting during establishment and what evidence supports buried or concealed work. A green appearance on day one does not prove drainage, service clearance or future plant survival.

Example: planting beside a public footpath

A contractor is asked to replace a grass strip with shrubs and edging beside a busy path. The survey shows a lighting column and a possible cable route. Before digging, the supervisor requests service information, arranges competent locating and marks the likely route. Pedestrians are redirected behind a suitable barrier; deliveries are scheduled when the path can be controlled. Plants and soil are placed near the work zone to reduce carrying. The crew hand-digs trial holes where the safe-dig plan requires them. When an unexpected duct appears, excavation stops until its identity and a safe method are confirmed. The team then completes approved edging and planting, checks final levels, reopens the path only after clearing tools and trip hazards, and hands over watering responsibilities. This example shows decisions, not a ready-made permit for that site.

Frequent template errors
