Why spreadsheets and calendar reminders stop working

A spreadsheet works for five vehicles and one person. The two overlap but answer different questions. Fleet management software is usually built around operations and cost — telematics, tracking, fuel, routing and utilisation — with compliance as one module among many. Fleet compliance software starts from a different question: can this vehicle be used legally and safely today, and can we prove the controls behind that?

The vehicle types a fleet actually runs

A real company fleet is rarely uniform. Complys is built to hold the mix without forcing everything into one mould, and to attach the right checks to the right kind of vehicle:

Company cars and grey-fleet vehicles carry MOT, tax, insurance and service tracking, with driver assignment and mileage. Vans and pickups add load-area condition and, often, the tools and equipment carried inside them. 4x4s, tippers and specialist vehicles used on sites bring heavier inspection and maintenance needs, and may tow trailers or carry equipment — a tail-lift, a crane, lifting accessories — that has its own inspection and certification. Complys can hold that attached equipment against the vehicle so the whole unit's readiness is visible, not just the cab.

Where a vehicle crosses into commercial-vehicle territory (HGVs, operator-licensed vehicles), the heavier HGV and operator workflows can be switched on for just those vehicles within the same account — so a mixed fleet stays in one place.

For most fleets the point of good records isn't internal tidiness — it's being able to prove compliance to someone else at short notice. How is this different from fleet management software?

Fleet management platforms focus on operations and cost — tracking, telematics, fuel and routing — with compliance as one part. Complys is compliance-first: it keeps the safety and legal evidence (MOT, tax, insurance, servicing, checks, defects, documents) organised, in date and audit-ready. It complements a telematics system rather than replacing it.

We run vans and a few HGVs — do we need two accounts?

No. A mixed fleet stays in one account. Your base plan is set by your total active vehicles, and HGV/operator functionality is added for the vehicles that need it rather than as a second subscription.

Do you charge for vehicles that are off the road?

A vehicle that's temporarily off-road or in for repair still counts while it's part of your operational fleet. Only sold, disposed and archived vehicles stop counting — and their records stay available for your audit trail.

Can drivers do checks on their phones?

Yes — daily and weekly vehicle checks are mobile-friendly, so a driver can complete a walkaround, flag a defect and attach photos from the vehicle. This feature is launching with the vehicle platform.

Does Complys track MOT and tax automatically?

You record each vehicle and Complys tracks its MOT and tax status and due dates, with reminders ahead of expiry. A registration lookup helps populate the vehicle's basic details when you add it.

Can we manage multiple depots or sites?

Yes. Vehicles can be organised across depots or sites with team access, so each location gets its own view against one company standard. Multi-depot management is part of the platform for larger fleets.

Will it keep an audit trail?

Yes. Every check completed, document uploaded, status change and defect resolution is recorded with who did it and when, so you can show a client, auditor or insurer what happened and prove the controls were in place.
