1 · Build your property register

    Add properties one at a time, or import a whole portfolio at once from a list. Record the address and the landlord it belongs to.

    Add each certificate — gas safety, EICR, EPC, PAT, legionella, fire risk assessment — with its expiry date and a copy of the document. Complys colour-codes each one and reminds you before it lapses.

2 · Set up the tenancy

    Add the tenancy with its rent, start date and agreement. You can upload an existing agreement or build one, and store the tenancy pack against the property.

    Record the deposit and which scheme it’s protected in (for example DPS or TDS), and attach the protection certificate — so prescribed-information evidence is always to hand.

You stay responsible for the legal detail
Complys records and documents what you do and flags deadlines, but statutory forms and notice periods change (not least under the Renters’ Rights Act). Always confirm the correct current form and period apply to your situation.

Which certificates does Complys track?
Any property certificate with an expiry — gas safety (CP12), EICR, EPC, PAT, legionella risk assessments, fire risk assessments and more. Each expiry is tracked and colour-coded, and reminders go out before it lapses.
Do I have to use every feature?
No. Deposits, Right to Rent, licensing, inspections, rent, arrears and maintenance can each be switched on or off in Property settings, so if you already run part of this in another system you only use what you need.
Can landlords and tenants see anything?
Yes. Properties link to a landlord and a tenancy, and you can message a landlord or tenant and share what's relevant — for example asking a landlord to approve a repair over your set spend limit.
How does maintenance approval work?
Set a repair approval threshold. Jobs under it can proceed; jobs over it are held as 'awaiting approval' until the landlord signs off, so you never overspend without a record.
